Your Responsibility
You are responsible for all of the transactions to research funds in your
name, and are obligated to review them on a
timely basis. Any errors, including the absence of expected transactions, are to be reported to Financial
Services for correction. Overspending is not allowed. Should your fund become overspent, it is your
responsibility to clear the deficit. If you know a fund is going to be
overspent, please contact Financial Services immediately at the numbers below.

agencies (NSERC, SSHRC and CIHR, collectively known as the Tri-Agency).
Charging To Your Fund
When coding transactions to this Fund, please use this format:
Fund - Organization - Account - Program
The "fund", "organization", and "program" codes were given to you in your new fund notification email. The fund code
uniquely identifies your project. The organization code identifies your department. The program code is really
meaningless, but required by our information system.
The "account" depends on the type of revenue or expense being recorded. Please use the
list of commonly used accounts
to find the appropriate account for the expense you want to charge to your fund.
Finding Your Fund Balance
You can examine transactions going through your fund by using the
FAST Reporting System.
A brief instruction manual
has been prepared to aid you in using FAST.
To login you need your 9 digit employee ID and 6 digit pin which is given to you by Computing Services.
If you have forgotten your ID and/or PIN, you can contact the IT Support Centre at 585-4685.
Information Services also has regular FAST training sessions.
Closing Funds
Most research grants and contracts have an expiry date attached to the money, which can effect the eligibility of certain expenses. You should be aware of the accounting concepts around incurring expenses near the end of a grant and the
University's procedures for closing research funds.
