Description

What is changing?

The University of Regina is improving information security by ensuring that connections between your email client (computer, tablet, smart phone) and our email servers is secure by way of encryption. This means that data (email messages, your email password) are not sent across the internet in plain text (unencrypted), which may run the risk of being intercepted. This change requires you to ensure you email clients and devices are configured to use encryption for your uregina.ca email account.

Currently, we allow both unencrypted and encrypted connection to our email servers. As of Nov. 21, 2017, we will no longer permit unencrypted connections. If your email client(s) and/or device(s) are not reconfigured by this date, you won’t be able to send or receive email using your uregina.ca account from clients or devices which are not configured to use encrypted connections.

Impacted users will be communicated with directly over email starting the week of Oct. 23, 2017.

If you are the recipient of this message, you will be required to update the configuration of your email client(s) which are using your uregina.ca email address.

Services which are impacted include unencrypted configurations on:
  •     gwimap.uregina.ca
  •     imap.uregina.ca
  •     smtp.uregina.ca
Typically, this services are used on student and alumni mobile devices, or 3rd party email clients such as Outlook, Thunderbird, or MacMail.

Services which are not impacted include:
  •     Student/alumni webmail (https://webmail.uregina.ca)
  •     Faculty/staff webmail (https://gwweb.uregina.ca)
  •     Groupwise Client
  •     Mobile device connection using Sync services (sync.cc.uregina.ca, sync2.cc.uregina.ca)
No changes are required for these services.

Resolution

What am I required to do?

Since your email account has one or more of your devices using the impacted services, you will be required to ensure the email client(s) are connecting using encryption prior to Nov. 21, 2017.

Faculty and Staff: Please configure your device according to instruction listed under “Configuring other 3rd party software to access Groupwise mail” on https://ursource.uregina.ca/is/accounts-applications/email/index.html.

Students and Alumni: Please configure your device according to instruction listed under “Configuring Email on a Mobile Device or Third Party Mail Client” on https://www.uregina.ca/is/accounts-logins-passwords.html#fact_7_8.

Ensuring your devices are updated to use these secure channels will help protect your email account, and ensure that your email reaches you without interruption starting on Nov. 21, 2017.
