Placing Materials on Reserve

At the request of a faculty member, the Library will place certain course readings on short-term loan to ensure that students have equitable access to limited materials.

Course reserves may include books, journal articles, class notes, class assignments, tests, AV formats, computer software, and any other relevant information faculty members wish their students to consult for their classes.

A reserve request form must be filled out for each title or type of material to be placed on reserve. Use one of the following forms: Fall Semester pdf form ; Winter Semester pdf form ; Spring Semester pdf form.  Please bring all materials for each semester to the Borrowing Desk no later than 2 weeks before the semester.

Reserve Services staff normally do not retrieve library materials from open stack collections to place on Reserve. We request that faculty do this to ensure that the correct edition of a book and/or journal article, for example, is placed on Reserve. This will expedite the processing of materials for Reserve Services.

All requests will be processed on a first come, first served basis. It is important to bring materials in early if you want them available for students to use at the beginning of a semester.

Reserve Deadlines

Please bring any library and/or personal materials to the Borrowing Desk no later that 2 weeks prior to commencement of session to ensure sufficient lead time to process requests, and to ensure that students will have access to recommended course materials at the beginning of the semester.

Later submissions are always accepted, please allow at least 2 days turnaround time for staff to get the materials on reserve.

Reserve Loan Periods

Loan periods can be selected on the Reserves Request forms. Please assign each item a reserve loan period with one of the following:

  • Library use only – 2 hours in Library
  • Overnight: Item(s) must be returned to the Reserve Desk by 12 noon the next day
  • 3 day
  • 7 day
  • 14 days

Reserve Request Forms

Forms are available at the Reserve Desk to fill out for each item to be placed on reserve for each semester. Fill out the appropriate form for the semester you are requesting items to be placed on reserve.

You may also print the forms and fill them out beforehand to include with each item when you bring your reserve materials to the Reserve Desk. There are separate forms for each semester: Fall, Winter, Spring/Summer.

On the form indicate the course name, section number, whether the material is required or supplemental reading, and the reserve loan period for each Library or personal item that you are placing on Reserve. Also fill out the section indicating what you want the Library to do with your personal materials after they come off Reserve.

Library Materials

If library materials you wish to place on reserve are checked out, you or Circulation staff can place a recall on them to ensure they are returned in time to be placed on reserve for the beginning of the class. Borrowers have up to 14 days to return recalled items so place recalls early to have them returned in time for placing on reserve.


Photocopies of readings can be placed on reserve provided that they fall within the University’s Fair Dealing Guidelines.  They may include:

  • up to 10% of a copyright-protected work (including a literary work, musical score, sound recording, and an audiovisual work)
  • one chapter from a book
  • a single article from a periodical
  • an entire artistic work (including a painting, print, photograph, diagram, drawing, map, chart, and plan) from a copyright-protected work containing other artistic works
  • an entire newspaper article or page
  • an entire single poem or musical score from a copyright-protected work containing other poems or musical scores
  • an entire entry from an encyclopedia, annotated bibliography, dictionary or similar reference work"
  • A full citation is required on all photocopied materials.  All photocopies will be held in separate file folders.

End of Semester Removal of Reserves

Materials placed on reserve will normally be removed after the last day of exams.

At the end of the exam period for that semester:

  • Library books will be returned to their regular library location
  • Professor’s or department copies can be retrieved by the requester, or will be returned to the department.
  • Personal books and photocopies will be returned to you.

Please indicate on the request form how you wish to have personal items returned.
