Programming and Information Management Archivist

(One Year Term Backfill – Fall 2012 to Fall 2013 with possibility of extension)

The University of Regina invites applications from proactive and results oriented archivists for an exciting one year term opportunity as a Programming & Information Management Archivist. Reporting to the University Librarian, this position oversees the management of university records throughout their entire lifecycle.  Key to the role is the continued development, implementation, and maintenance of an effective and integrated records management program that meets the University’s current and future records and information management needs.  This includes the research, development, implementation and promotion of records schedules, policies, and procedures that ensure alignment of the University’s record-keeping systems and technology with current standards, legislation and archival considerations.  The position also oversees the transfer, processing and reference of university records collections and contributes to archival outreach initiatives developed for the university and broader communities.

 Archives & Special Collections is responsible for preserving, promoting and providing access to the recorded academic and cultural heritage of the University of Regina.  The archival collection consists of original materials relating to the University, its faculty, staff, and students, dating from the inception of Regina College in 1911 to the present day.  This includes both official records from all areas of the University and private papers with a special focus on the visual arts, journalism, and Saskatchewan literature.  A digital repository and a comprehensive thesis collection are also included.

 Archives and Special Collections is also mandated to advise and assist University units in the management of their records from the time of creation through to disposition.  A comprehensive records management program is under development with a Records & Information Management Policy approved by the Board of Governors in 2009 and the commencement of function-based record classification and retention schedule design on a unit-by-unit basis.  To date, twenty-one records schedules have been approved for use and the list of units that are eager to engage in the process is continuing to grow.

 University of Regina archivists work closely with faculty and staff in the University Library.

 About the Position

 The Programming and Information Management Archivist oversees the management of university records throughout their lifecycle and contributes to archival outreach initiatives and other functions of the University Archives.  This is an in-scope academic position.  Archivists are members of the University of Regina Faculty Association and are encouraged to take part in scholarship, research or professional activities.

The Programming and Information Management Archivist will have a range of duties, including:

  • Working with campus stakeholders and Archives staff, lead the continued development, implementation, and maintenance of an effective and integrated records management program that meets the University’s current and future records and information management needs.  This includes the research, development, implementation and promotion of records schedules, policies, and procedures that ensure alignment of the University’s record-keeping systems and technology with current standards, legislation and archival considerations.
  • Overseeing the transfer, processing and reference of university records at the Archives.
  • Supervising assigned staff and students in executing projects related to university records.
  • Serving as Secretary to the University Records and Information Management Committee.
  • Cultivating relationships and identifying potential partnerships with both internal and external communities in the context of the assigned responsibilities.
  • Working with Archives and other library staff, provide, coordinate, and contribute to the delivery of presentations, instruction sessions, and/or exhibits to members of the campus and the general public, utilizing and highlighting the collections of University Archives.
  • Working with the University Librarian, the University Archivist, Associate University Librarians, other library staff, and Information Services staff, contribute to the digital presence of University Archives.
  • Working collaboratively with University Library colleagues on committees and working groups that advance all aspects of library planning, policy formulation, service delivery and effective working relationships.
  • Contributing to institutional planning as a member of library and university councils and committees.
  • Managing the University Archives whenever the University Archivist is absent.
Qualifications:

A graduate degree in archival studies is required.

The following qualifications are all assets for the applicant’s success in this position:

  • Demonstrated experience developing and/or implementing records classification and retention schedules in a complex setting, including analyzing client functions, procedures and activities to determine classification, retention and disposition requirements;
  • Strong interpersonal skills in order to work flexibly, discretely, and effectively with senior staff and administrators, colleagues, donors, and clients.  This includes the ability to build consensus amongst a diverse group of stakeholders;
  • Proven ability to analyze record-keeping legislation (national and/or provincial) and develop or apply policies to ensure institutional compliance with this legislation;
  • Demonstrated success creating and delivering creative outreach and instruction to targeted communities of users;
  • Demonstrated leadership and project management skills;
  • Demonstrated analytical and problem-solving skills;
  • Supervisory experience in a unionized academic environment;
  • Knowledge of current trends, approaches, and issues in the profession.

  • Salary is based on the academic rank assigned which is commensurate with the candidate’s experience and qualifications.
