  • To create a team at the University of Regina, use the “Request‑a‑Team” app in Microsoft Teams, complete the required form, and submit your request.
  • The team is usually created within minutes, with confirmation sent via Teams Activity and Outlook email. 


Note: This method is required instead of the standard Teams creation process.

How do I share a network file with an external person?
  1. Upload the file to a Teams channel (or SharePoint, if it’s stored there).
  2. Click "Share" on the file and enter the external user’s email address.
  3. Set permissions—external users will have guest access by default, allowing them to:
    1. View, edit, and download files.
    2. Participate in channel conversations.
    3. Not add, delete, or manage channels (unless adjusted).
  4. Adjust permissions if needed—you can grant higher access (e.g., edit or manage channels) via permission settings.

Note: The external user will receive an email invitation with a link. When they click it, they’ll need to verify their identity using a one-time passcode (OTP) sent to their email before accessing the file.
