Banner Workflow

Common Graduate Student requests have been automated and the process is managed through software called Banner Workflow.

The Graduate Student Requests that are automated through the students UR Self Service account are:

  • Program Transfer
  • Program extension
  • Voluntary Withdrawal
  • Leave of Absence
  • Change to Program
  • Progress Reports

To login to Banner workflow click here. If you are off campus you may log in through UofR's VPN network to complete these requests remotely.

Process:

  • A graduate student submits a request by logging on to UR Self-Service (under Graduate Student Requests). Relevant documentation may be attached to specific requests.
  • An email is sent to the student’s supervisor (if applicable) and administrative contact in the student’s unit notifying them of the request, if no supervisor is assigned to the student in Banner the request is sent directly to the graduate co-ordinator. An email to the supervisor/co-ordinator includes a link to log in to Banner Workflow to review the student request.
  • Supporting documents (if attached) may be viewed by clicking on the attachment in the workflow. As a reviewer, you may make comments or attach any additional documentation that may be required for the request.
  • When the request is approved by the student’s supervisor a notification email is sent to the student’s Program Co-ordinator with a link to log in to Banner Workflow to review the student’s request,
  • When the request is approved by the student’s Program Co-ordinator a notification email is sent to the student’s Associate Dean with a link to log in to Banner Workflow to review the student’s request,
  • When the request is approved by the student’s Associate Dean a notification email is sent to the FGSR Dean for final approval.
  • Upon the FGSR Dean's approval, FGSR staff will finalize the request and a letter will automatically be generated and saved to the student's electronic file as well as posted in UR Self Service for the student to view.
  • Any rejection or re-work of requests are sent back to the student with an explanation, and also a note to any individual who may have already reviewed the request.

NOTE: If an approver is away for a short period of time (i.e. vacation) you may choose to set up proxy access (see instructions below).
